Coordinator, Executive Leadership Events & Operations

We are seeking a highly organized, energetic, and proactive Coordinator to provide planning, coordination, and operational support for the Canadian Executive Team (CET). This role is responsible for the end-to-end coordination of executive meetings, leadership forums, and business reviews that bring together senior leaders from across Canada.

The successful candidate will serve as the primary coordinator for all Canadian Executive Team meetings and will support a variety of associated leadership forums, including Canadian Growth Meetings, Canadian Leadership Meetings, Monthly Business Reviews (MBRs), Canadian Operations Team meetings, and other strategic leadership events. The role will also provide on-site event support as required to ensure the seamless execution of meetings and leadership gatherings.

This position is ideal for a dynamic self-starter who thrives in a fast-paced environment, enjoys managing multiple priorities, and takes pride in delivering exceptional support to senior leaders. The Coordinator will act as a central point of contact for meeting logistics, scheduling, communications, materials management, and event execution, ensuring a professional and consistent experience for participants.

Your Impact:

  • Coordinate and manage all logistical aspects of Canadian Executive Team meetings, including scheduling, developing agendas, venue arrangements, catering, technology requirements, and the collection, organization, and distribution of all supporting materials and submissions.

  • Provide planning and execution support for leadership forums, including Canadian Growth Meetings, Canadian Leadership Meetings, Monthly Business Reviews, Canadian Operations Team meetings, and other executive-led events.
  • Partner closely with executive leaders and their support teams to ensure meeting objectives, timelines, and deliverables are achieved.
  • Develop and maintain annual meeting calendars, planning trackers, and event logistics plans.
  • Develop, compile, and format presentations, briefing materials, reports, and other supporting documents in PowerPoint and Word, ensuring materials are accurate, polished, and ready for executive review and meeting use.

  • Manage communications with participants and stakeholders before, during, and after meetings.
  • Support action item tracking and follow-up activities to ensure accountability and completion of agreed-upon deliverables.
  • Provide on-site event coordination, including room setup, registration support, technology troubleshooting, and overall event management.
  • Identify opportunities to improve meeting processes, coordination practices, and participant experience.
  • Assist with special projects and executive initiatives as assigned.

What We're Looking For

  • A high-energy and enthusiastic professional who enjoys working in a fast-moving environment.
  • A natural organizer who can bring structure and coordination to complex activities.
  • A resourceful problem solver who remains calm under pressure.
  • A collaborative team player who takes ownership and follows through on commitments.
  • Comfortable supporting senior executives and adapting to changing business priorities.
  • Willing to travel occasionally and provide on-site support for meetings and leadership events as required.

The Skills That Set You Apart

  • Fluent in both English and French, written and spoken, ensuring effective communication with diverse teams and stakeholders.
  • Exceptional organizational and project coordination skills with strong attention to detail.
  • Ability to manage multiple priorities and deadlines while maintaining a high level of accuracy and professionalism.
  • Strong communication and relationship-building skills with the confidence to interact with senior leaders and executives.
  • Proven ability to work independently, anticipate needs, and take initiative.
  • Experience coordinating corporate meetings, leadership events, conferences, or executive-level activities.
  • Proficiency with Microsoft 365 applications, including Outlook, Teams, PowerPoint, Excel, and Word.
  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
