We are looking for an enthusiastic person to provide administrative support to the Unscripted Content Department in English Services. You will work in a dynamic and fast paced environment; flexibility, detailed organization, and the ability to juggle multiple priorities to meet short deadlines are essential. This role requires a high level of discretion and confidentiality.  We are looking for a highly motivated and proactive individual who thrives in a fast-paced environment.  

Core Responsibilities:

  • Office Operations: Oversee the day-to-day operation and appearance of the office. Manage office supplies, shipping and receiving, and maintenance requests. Maintain accurate records of equipment inventory, subscriptions, floor plans, and departmental documentation. Monitor IT hardware to ensure all technical equipment remains up to date and functional in collaboration with the IT department.

  • Administrative Support: Act as the primary point of contact for all administrative and office inquiries. Manage departmental communications, calendars, event tickets requests, phone calls, and visitor reception. Coordinate internal and external meetings, including scheduling, booking boardrooms, and preparing necessary meeting materials and catering.

  • Financial & Corporate Processes: Support travel arrangements (AmexGBT) and submit expense reports (TEMS) for the production team. Oversee internal processes related to HR (Workday), Business (Livelink), Procurement (ePlaza) and other corporate processes as they arise while ensuring strict compliance with corporate policies.

  • Communications & Stakeholder Management: Prepare and edit email correspondences and presentations. Coordinate internal staff communications, meetings and events, including providing on-site support, setup, and catering. Establish and maintain effective working relationships with all levels of staff and stakeholders to ensure maximum efficiency and collaboration.

  • Compliance & Emergency Prep: Manage emergency preparedness and crisis management documentation, including regular updates to instruction manuals for evacuations, safety, and fire protocols.

This role involves collaborating with other office administrators and executive assistants to support the overall administrative needs of the Unscripted department and CBC Entertainment.

Qualifications

  • Education: University degree or college diploma is an asset.

  • Experience: Relevant administrative experience is required.

  • Technical Skills: Strong proficiency with Google Workspace (Docs, Sheets, Slides), Zoom, and other essential business applications (technical acumen is an asset).

  • Adaptability: Proven ability to work both collaboratively and independently in a fast-paced environment.

  • Problem-Solving: Ability to comprehend and act on complex, urgent, and sensitive matters in a timely manner.

  • Organizational Skills: Highly developed administrative skills with meticulous attention to detail and accuracy.

  • Interpersonal Skills: Professional, diplomatic, and culturally sensitive with a commitment to contributing to an inclusive and equitable workplace.

  • Initiative: Proactive mindset, with the ability to identify administrative gaps and propose solutions.

  • Flexibility: Willingness to work outside of regular office hours as required to meet production needs.

  • Language: Functional French is an asset but not required
