POSITION OVERVIEW

BDC is looking for an Administrative Assistant to support the Senior Vice-President, Defence Strategy, and its leadership team. The ideal candidate enjoys working in a stimulating environment focused on mission, impact and results. The candidate demonstrates excellent judgment, a high level of discretion and has strong communication, coordination and organizational skills, while effectively managing multiple priorities simultaneously.

CHALLENGES TO BE MET

  • Support the SVP Defence and his management team, in various administrative tasks, including:
    • Proactive management of a complex schedule, including planning, prioritizing and optimizing meetings, taking into account business issues, timelines and changing priorities
    • Planning and coordination of business travel and external engagements
  • Coordinate meetings, including team meetings (e.g., multiple stakeholders, various directorates, different time zones, external guests, management committees, candidate interviews, etc.).
  • Prepare agendas and follow up on actions resulting from senior management meetings, management committees and external engagements.
  • Anticipate the needs of the SVP by proactively following up on priority files and managing incoming information with discernment.
  • Ensure rigorous monitoring of invoice processing and expense account management.
  • Effectively manage competing priorities, proactively process requests and ensure their completion within often tight deadlines.
  • Act as a liaison to promote smooth communication between the SVP and teams
  • Collaborate closely with other Executive Assistants and participate in various cross-cutting initiatives.
  • Develop and maintain relationships with internal and external partners to support the coordination of information and the advancement of projects.
  • Handle highly confidential information (financial reports, strategic documents, executive correspondence).
  • Perform any other tasks related to the nature of the position.


WHAT WE ARE LOOKING FOR

  • College diploma in business administration or a related field
  • Minimum of 5 years of experience in an administrative support role to senior management
  • Knowledge or interest in the defence sector and the ecosystem supporting it (an asset)
  • Strong coordination and priority management skills in a demanding environment
  • Excellent interpersonal skills and ability to build relationships with high-level stakeholders
  • Exceptional attention to detail and ability to perform under pressure
  • Demonstrated ability to evolve in a high-tempo executive environment
  • Excellent communication skills, oral and written, in both official languages (French and English)
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
  • Comfortable with new technologies and artificial intelligence tools, such as Copilot
