Your Opportunity

We are looking for a Bilingual Events Specialist to join our Events and Sponsorship team and own the following responsibilities:

  • Lead the planning and execution of internal and market-facing events, with a focus on events in Quebec and Ottawa.
  • Develop event plans and recommendations to meet business goals
  • Own the implementation of the workback schedule and production/run of show plans
  • Ensure the successful completion of event tasks through close collaboration with the team, including:
    • Venue sourcing
    • Provide onsite event execution and day-of support to virtual, hybrid and in-person events
    • Day-to-day liaison with event stakeholders
    • Develop and track key dates and milestones to ensure deadlines and deliverables are met
    • Oversee room set-ups and floor plan creation
    • Plan and execute audio visual requirements
    • Coordinate catering arrangements and menu selection
    • Set up and maintain event registration as needed
    • In-person and virtual registration platform set up for internal and market-facing events
    • Invoice processing and budget reporting
  • Build and maintain strong relationships with key stakeholders
  • Develop, maintain and update event templates to support the delivery of a consistent and effective event experience
  • Conduct regular audits of event processes and tools to identify opportunities for improvement
  • Provide training and support to team members on marketing processes and tools
  • Identify opportunities for innovation, experimentation, and continuous improvement
  • Support other projects related to events as required
  • Work in the office at least once a week to support in-office duties, and as needed to support in-office events
  • Travel to meetings and events in person locally on a regular basis.
  • Travel to events across Canada (approximately 10% of the role)

Your experience and education

  • 5+ years of working experience in events and/or hospitality
  • Bilingual in English and French is required due to the frequent and complex contact with our English-speaking partners and clients in Quebec and outside of Quebec, and the need to draft documents in English, knowledge of English is essential for this position.
  • Creative, autonomous and self-starting, and highly accountable
  • Strong project coordination skills (planning, scheduling, managing multiple priorities, meeting deadlines)
  • Calm, flexible and creative problem solver, including when faced with onsite modifications and issues
  • Clear and detail-oriented communication skills
  • Exceptional interpersonal skills, a collaborative nature, with an ability to build strong relations with all levels of the firm and work in a cross-team environment
  • Experience managing and meeting timelines
  • Strong experience with Microsoft Word, Excel and PowerPoint and most common digital tools
  • Experience with RingCentral, Microsoft Teams, or Swoogo is an asset
  • Be able to travel to meetings and events in person locally on a regular basis
  • Be able to travel to events in locations across Canada in some instances
